The new Mailing feature in the Proof app allows Servers to complete and record document mailing directly within the job—no more emailing mailing details or posting in the job chat. This streamlined process ensures accurate records and saves time for everyone involved.
🔒 Who Has Access to This Feature?
This feature is only available on select jobs that require mailing after service. If the job does not require server mailing, the option will not appear in the app.
🚩 Important Note: Not all jobs will utilize this feature. It is only enabled on applicable jobs that require mailing as part of completion.
🚦When Will I See the Mailing Option?
You’ll be prompted to mail documents if:
You’ve made a successful service attempt on a job that requires mailing, OR
You’ve completed the required number of unsuccessful attempts on an applicable job
If mailing is required, you will automatically receive a push notification once the trigger has been met.
📌 How Will I Know Mailing is Required?
The job will display a "Server Mailing" status badge in the job overview
A "Mail Documents" button will appear within the job overview screen
✏️ How to Use the Mailing Form
Tap the “Mail Documents” button on the job overview screen.
The form is split into two parts:
📄 Part 1: Mailing Details (Auto-filled for You)
This section contains everything you need to prepare and send the mailing:
Recipient Name
Recipient Address
Mail Type Required (Certified Mail or First Class)
📨 Part 2: Confirmation (To Be Filled Out After Mailing)
Once you’ve mailed the documents, fill in the following:
Date Mailed
Certified Mail Tracking Number (optional if not using Certified Mail)
Proof of Mailing Photo (required)
You must upload a photo of your mailing receipt or confirmation to complete this step.
Tap Submit when finished.
💡 More than one mailing? No problem! You can submit details for each mailing in succession for easy logging with less clicks.
✅ What Happens After Submission?
Once the mailing form is submitted:
The job will be automatically moved to “Preparing Affidavit” status
You’re all set!

Double-check that the mailing address and mail type match what's provided before mailing
Upload a clear photo showing the mailing receipt or envelope with postage
If Certified Mail is used, make sure to include the tracking number
