⚠️ Action required: Proof collection update

Instructions to update your Proof collection with 2 new fields: Serve ID and Affidavits

We've made significant upgrades to your Proof integration. These changes bring more transparency, less back-and-forth, and a cleaner workflow—all without leaving your case management system.

If your firm uses Filevine or Litify, there are two new fields to add to your proof collection:

  • Serve ID — links to the unified serve record

  • Affidavits — supports multiple affidavits per serve (the current field only accepts one)

Serve ID vs Job ID

  • Proof now shows a single record of activity for the serve. All chats, attempts and affidavits are aggregated in one single record. That means one entry in the collection for each serve, rather than one per servee.

  • Each record (the "serve") now has a unique number called the Serve ID.

  • If a serve gets redispatched, you will see multiple Job IDs, which is the unique identiier for the activity specific to each individual server

  • For example:

    • Serve is created on the platform

    • Serve ID generated: SRV-12923

    • Server A claims the job and makes 4 attemtps: Job ID #99029

    • New address added for a different state

    • Server B claims new job: Job ID #99282

Filevine Users - How to update your Proof collection

Step 1: Open the Proof collection from custom editor

  1. Log in to your Filevine account. You must be a Filevine admin users.

  2. Within the Advanced section of the sidebar, click on Customs Editor

  3. Choose your Org and Project type

  4. Click on the Proof custom collection

Step 2: Add the Serve ID field

  1. Within the Proof collection, click add new field

  2. Field type: Text - Single line

  3. Field Prompt: Serve ID

  4. Field selector: serveID

  5. Visibility: Show always

Step 3: Add the Affidavits field

  1. Within the Proof collection, click add new field

  2. Field type: Multiple file attachments

  3. Field Prompt: Affidavits

  4. Field selector: affidavits

  5. Visibility: Show always

Step 4: Mark the existing "Final Affidavit" field obsolete

All affidavits from all servees will be added to the Affidavits field moving forward so the current Affidavit field is no longer needed. This field will only receive the latest affidavit on the job.

  1. Within the Proof collection, find the field "Final Affidavit"

  2. Go to advanced properties

  3. Mark obsolete (bottom right checkbox)

Litify Users - How to update your Proof collection

To receive the new fields Serve ID and Affidavits, please update to the latest package version 1.35

Steps

  1. Click the Salesforce link to install the integration: https://login.salesforce.com/packaging/installPackage.apexp?p0=04t4x000000r7E2

    1. Creates the proofMatterServiceOfProcess component in Litify

    2. Adds the component to the Matter page

  2. Navigate to Matters and open any Matter

  3. Click the Setup (gear) icon in the top-right

  4. Select Edit Page from the dropdown

  5. Click Add Tab and create a new tab named “Details”

  6. Open the new Details tab and select Custom to create a tab

  7. Enter “Proof” as the Custom Label (creates a new “Proof” tab)

  8. Select the “Proof” tab in the Tabs component

  9. From the Components menu, find proofMatterServiceOfProcess

  10. Drag the component into the “Add Component(s) Here” area in the Proof tab

FAQ

  1. When do I need to update the collection by?

    Your existing collection will continue to work, but your collection may be missing Affidavits if more than one are issued on the serve. Please update the collection as soon as possible.

  2. Will I lose my historical data by updating to the new Proof collection?

    No, all data will be retained

  3. How does this impact existing automations?

    Any automations that rely on th Affidavit field should be updated to point to the new Affidavits field
