Certain courts and jurisdictions require that serve documents be mailed in addition to, or instead of, personal service. Those mailing requirements are rule-driven — they vary by jurisdiction.

Proof implements these mailing rules automatically so that customers do not have to research, remember, or manually apply them. If a serve requires mailing under the governing rules, Proof will ensure that it is performed.

How Mailing Rules are Applied

By default, Proof will:

  1. Evaluate the serve context (jurisdiction, case type, etc.)

  2. Determine whether mailing is legally required

  3. Add the mailing step automatically when required

No customer action is needed for rule-based mailing to occur. These mailing rules are evaluated regardless of how the job is created, whether through the job onboarding experience in the Proof app, through the API or through Bulk Upload.

Customer Overrides (Optional)

If a customer wants to override or supplement the automatic rule-based behavior, they may provide a mailing configuration when onboarding a serve job (through job onboarding, API or Bulk Upload).

  • If a customer-provided mailing configuration exists, Proof will follow the customer’s configuration.

  • If not, Proof will apply the applicable rules and add mailing as defined by those rules.

Visibility & Tracking in the UI

Mailing status and configuration are visible on the Serve Detail page:

  • A dedicated mailing widget shows whether the serve includes mailing and its configuration (mailing type, destination, trigger, etc.)

  • The widget displays the mailing status for each mailing on the serve

Editing Mailing After Onboarding

  • To add, remove, or edit mailing after serve creation, customers must reach to the service specialist in the chat

The specialist will make the required changes and ensure compliance is maintained.
