Two-Factor Authentication (MFA) Guide

How to enhance account security with two factor authentication.

What is Two-Factor Authentication?

Two-factor authentication (MFA) adds an extra layer of security to your Proof account. Instead of just entering your password, you'll also need to provide a verification code from your mobile device. This helps protect your account even if someone gets your password.

Getting Started

To enable MFA, you'll need:

  1. A mobile device (smartphone or tablet)

  2. An authenticator app installed on your device (see recommended apps below)

  3. Access to your Proof account settings

We recommend using one of these authenticator apps:


1. Google Authenticator

2. Microsoft Authenticator

3. Authy


How to Enable Two-Factor Authentication

Step 1: Navigate to MFA Settings

  1. Log in to your Proof account

  2. Click on your name at the bottom left corner

  3. Select "Edit Profile" from the menu

  4. Navigate to the "Password & Security" tabs "Two-Factor Authentication" section

Step 2: Enable MFA

  1. Find the "Two-Factor Authentication" toggle switch

  2. Click the toggle to turn it ON

  3. A modal window will appear to begin the enrollment process.

  4. Select Continue

Step 3: Scan the QR Code

  1. Open your authenticator app on your mobile device

  2. Tap the "+" or "Add Account" button in your authenticator app

  3. Select "Scan QR Code" or "Scan Barcode"

  4. Point your device's camera at the QR code displayed on your screen

  5. Your authenticator app will automatically add the account

Alternative: Manual Entry

If you can't scan the QR code, you can enter the code manually:

  1. Click "Can't scan the QR code?" or similar option

  2. Copy the secret code displayed

  3. In your authenticator app, select "Enter a setup key" or "Manual entry"

  4. Enter the account name (e.g., "Proof") and paste the secret code

  5. Tap "Add" or "Save"

Step 4: Verify Your Setup

  1. Your authenticator app will now display a 6-digit code that changes every 30 seconds

  2. Enter the current 6-digit code from your authenticator app into the verification field

  3. Click "Verify and Enable"

Step 5: Confirmation

Once verified, you'll see a confirmation message that MFA has been successfully enabled. Your account is now protected with two-factor authentication! Once MFA is enabled, you'll need to provide a verification code each time you log in to your Proof account.


How to require 2FA for all users

A firm admin on your team can require 2FA at sign-in for all users. To enable this setting:

  1. Log in to your Proof account (must be an admin user)

  2. Click on the Firm Settings tab in the side navigation

  3. Then click on the Organization Settings tab

  4. Select “Require two-factor authentication for all users ”

  5. On their next login, all users in your firm will be prompted to complete 2FA enrollment.”


How to Disable Two-Factor Authentication

If you need to disable MFA for any reason, follow these steps:

Step 1: Navigate to MFA Settings

  1. Log in to your Proof account

  2. Click on your name at the bottom left corner

  3. Select "Edit Profile" from the menu

  4. Navigate to the "Password & Security" tabs "Two-Factor Authentication" section

Step 2: Disable MFA

  1. Find the "Two-Factor Authentication" toggle switch (it should be ON)

  2. Click the toggle to turn it OFF

  3. A confirmation modal will appear

Step 3: Verify Your Identity

To disable MFA, you'll need to verify your identity using one of these methods:


Option A: Password Verification

  1. Enter your Proof account password

  2. Click "Disable Two-Factor Authentication"

Option B: Authenticator Code

  1. Enter the current 6-digit code from your authenticator app

  2. Click "Disable Two-Factor Authentication"

Step 4: Confirmation

Once verified, MFA will be disabled and you'll see a confirmation message. You can re-enable it at any time from your settings.


Troubleshooting

I Lost Access to My Authenticator App

If you've lost access to your authenticator app:

  1. Contact Support: Reach out to support@proofserve.com for assistance recovering your account

  2. Re-enable MFA: Once you regain access, you can disable and re-enable MFA with a new authenticator app

The Code Isn't Working

  • Check Time Sync: Make sure your device's clock is set correctly. Authenticator apps rely on accurate time

  • Use Current Code: Codes expire every 30 seconds. Make sure you're entering the code currently displayed

  • Try Manual Entry: If scanning the QR code didn't work, try manually entering the secret code

I Can't Scan the QR Code

  • Use the manual entry option instead

  • Make sure your device's camera has permission to access the camera

  • Ensure there's adequate lighting

  • Try refreshing the page to get a new QR code

I Want to Switch Authenticator Apps

  1. Disable MFA using your current authenticator app

  2. Enable MFA again and scan the QR code with your new authenticator app

  3. Verify the setup with a code from your new app


Frequently Asked Questions

Do I Need to Enter a Code Every Time I Log In?

Yes, once MFA is enabled, you'll need to provide a verification code each time you log in to your Proof account.

What Happens If I Lose My Phone?

If you lose your phone, you can contact Proof support to reset your accounts 2FA.

Can I Use Multiple Devices?

Yes, you can scan the same QR code with your authenticator app on different devices. All devices will generate the same codes.

Is MFA Required?

MFA is optional unless your firm administrator has required it for all users. Check with your firm administrator if you're unsure.

How Do I Know If MFA Is Enabled?

You can check your MFA status in your account settings. The toggle switch will be in the ON position if MFA is enabled.
